Clients rarely leave a studio all at once. More often, the change happens quietly. A regular stops booking ahead. A class pack gets close to expiry with credits still sitting there. A few cancellations become a new pattern. By the time the membership ends, the relationship may already feel distant.

That is why we built 👻 Ghost Alert, Clovo’s new retention feature for boutique fitness studios. It helps your team notice the early signs that a client may be drifting away, while there is still time to start a thoughtful conversation.

Ghost Alert brings the signals together inside your Clovo Dashboard, then gives your team a clear place to act. No separate spreadsheet. No manual hunt through booking histories. Just a timely prompt to check in with the person behind the pattern.

Retention starts before the cancellation

Most retention tools arrive too late. They tell you who cancelled, who has not returned, or how much revenue has already gone. Useful information, perhaps, but it describes an outcome rather than an opportunity.

Ghost Alert is designed for the moment before that outcome. Each morning, Clovo reviews the retention signals it can see and creates alerts for clients who may need attention. That gives a studio owner or staff member a chance to reconnect while the relationship is still warm.

The goal is not to turn every quiet week into a campaign. It is to make sure the clients who might benefit from a little care do not disappear unnoticed.

The signals that are easy to miss

A busy team sees hundreds of bookings, cancellations and check-ins. One small change can look ordinary in isolation. Ghost Alert looks across the signals and brings the meaningful ones into view, including:

  • Unused credits nearing expiry, so there is still time to help a client get value from their pack.
  • An active membership with nothing booked, which may be the first sign that a routine has slipped.
  • Repeated no-shows or cancellations, where a quick check-in could uncover a schedule or confidence barrier.
  • A drop in app activity, giving your team another gentle indicator that engagement has changed.
  • Retention signals from in-app behaviour, surfaced without exposing private client activity.

These signals are not a verdict. Life gets busy, routines change and sometimes a missed week is just a missed week. Ghost Alert is a prompt to bring your studio’s knowledge of the client into the conversation, not a prediction that someone will leave.

A clearer view of who may need you

Each eligible client receives a staff-only Ghost Score based on the current mix of retention signals. A low score means there is nothing Clovo is watching right now. Elevated and higher scores help your team prioritise where a personal check-in may matter most.

The score is visible on the client profile and throughout the Ghost Alert screens, so the context travels with the relationship. Your team can see what prompted the alert, review the client’s history and decide on the response that fits.

For a studio with a few hundred members, that focus matters. Retention becomes less about sending more messages to everyone and more about having the right conversation with the right person.

From insight to a human follow-up

An alert only creates value when somebody can act on it. From Ghost Alert, staff can reach out using a prefilled email, create a follow-up task for the right team member, or mute an alert when no contact is needed.

The five most recent unactioned alerts appear on the main dashboard, while the full Ghost Alerts area keeps the wider picture organised. A daily email and push digest can also keep open alerts visible until someone has reviewed them.

Retention data adds a broader working view. The Members with nothing booked report brings active members with an empty diary into one place, alongside their membership, last booking and Ghost Score. Your team can also export the list when it is time for a focused follow-up session.

That simple workflow makes retention a shared habit rather than another report an owner has to remember. A front-desk team member can spot the prompt, an instructor can add the personal context, and the studio can follow through without losing the thread.

Retention should still feel personal

The best message may be as simple as, “We haven’t seen you in a little while—how are you going?” It might lead to a class recommendation, help with a booking, or the chance to adjust around an injury or a new schedule.

That is the real idea behind Ghost Alert. Technology notices the quiet change. Your team brings the empathy.

For boutique studios, that balance is important. Clients do not want to feel managed by a retention system. They want to feel remembered by the place where they move, train and belong.

Turn on Ghost Alert

Ghost Alert is available now in Clovo Studio. Studio owners and staff with setup access can switch it on from Settings, then find alerts under Operations > Ghost Alerts.
